STUDENT WELLBEING/RISK

  • If a student presents with risk (thoughts/plans/intentions of self-harm or suicide), this must be reported to the Program Coordinator and/or MCI Support Line via phone or email the same day. 
  • If the student is not at immediate risk, please advise the school contact person regarding the student's disclosure following their interview.
  • Do not engage the student in any mental health counseling. 
  • The CEAV is currently developing a training module to support Service Providers through this process.

COVID SAFE PLAN

If conducting interviews face-to-face please:

  • Observe social distancing measures, wear a face mask and sanitise hands as required. Also adhere to any other practices requested by the school. 
  • If you become unwell BEFORE your booking, do not attend the school and let the Program Co-Ordinator know immediately. 
  • If you become unwell with cold or flu-like symptoms AFTER attending the school, please let the Program Co-Ordinator know immediately and get tested for COVID-19 as soon as possible. After testing, you will need to stay home until you receive your results. 
  • If you become unwell DURING interviews at a school, please stop conducting interviews and immediately contact your Program Coordinator. 
  • Please note that face-to-face bookings are subject to change in response to updated COVID-19 restrictions. Any changes will be communicated by the Program Coordinator via email.

 

ARRIVAL/SIGN-IN

  • Sign in at the front office using the school sign-in process.
  • Please ensure you have a copy of your WWC or VIT to provide the school if they request it.
  • If you are provided with a visitor tag or lanyard this must be worn at all times.

 

SET-UP REQUIREMENTS & INTERNET

  • Please remember to charge your laptop and any other devices, as you may not have consistent access to a power point.
  • It may also be useful to bring an extension cord and double adapter if you feel that you may require power throughout the day.
  • Guest WiFi may not be available at every school, please have a mobile hotspot or dongle as a backup.
  • Please check you have a good internet connection and back-up plans in place such as hot-spotting or a dongle.
  • Ensure all windows on your computer are closed except for Morrisby Manager and Webex and that there are no visible bookmarks, toolbars or email alerts.
  • Do not share the screen until you have verified the student's DOB and have their profile loaded and ready to share.
  • DO NOT share the school candidate list as this discloses private information relating to student health and ipsatised results.

 

REMOTE (WEBEX) INTERVIEWS

  • Ensure your interviewing space is clean, free of clutter, other people and background noise.
  • Sign in to your WebEx account before the interview is scheduled to begin.
  • Check video and audio are working, and your webex meeting room is locked.
  • ADMIT the student when they arrive in the lobby.
  • Verify the student's school name, full name and DOB (obtained from Morrisby list).
  • Identify and assign your student in Morrisby Manager, open their profile and then commence screen sharing.
  • EXPEL the student at end of the interview BEFORE admitting the next student.
  • Maintain a LOCKED session for each student.
  • Students may choose to have video turned off.
  • You are not permitted to record remote interviews.
  • If you experience internet instability it may help to request video be turned off by student and/or you. If necessary, use chat box or phone with permission from school and student. Student may be able to login to online profile on their own PC if screen sharing is not possible.
  • If there is disruptive background noise, ask student to turn mic off when you are talking and on when they wish to talk

 

INTERVIEW ATTENDANCE

  • If there is not a student in your meeting room/face-to-face within 10 minutes of the appointment time, please get in touch with the key school contact immediately to follow up the student. (Key contact details can be found in the 'Contact Details' tab on MIMs)
  • The actual number of interviews per day is not guaranteed and may vary due to school schedules, curriculum changes, absences or tech delays.
  • Ability to back-fill students and follow up on students will vary from school to school. There may be some missed unpackings. Please do not lodge any complaints with the school about missed students. This feedback should only go to the appropriate Program Coordinator. 
  • School Contact details on your appointment schedule must remain confidential and are only for the purpose of communications regarding issues or concerns relating to student interviews
  • Student online profiles will be released one business day before interviews commence and students interviewing from home may have not yet seen their printed Morrisby profile

 

Troubleshooting options for Audio issues:

  1. If student is using Webex in browser they can click the three dots icon in the bottom, choose Speaker, microphone and camera and make sure correct microphone and speaker are selected.
  2. Student can use search box on Windows taskbar by clicking Start, type audio troubleshooter, select Fix and find problems with playing sound from the results, then select Next. Select device to troubleshoot (default is usually fine) and then continue through the troubleshooter. This will unmute and enable devices as needed and may resolve the issue
  3. If student is using Webex in browser they can try a different browser by opening say Microsoft Edge and copy / pasting the Webex URL into that.
  4. If student is using Webex in browser and Webex application is installed then try that instead and vice-versa, if using the Webex application try switching to joining meeting in browser.

 

OTHER REMINDERS

  • Student online profiles are released one business day before interviews commence and students interviewing from home may not have seen their printed Morrisby profile yet.
